The question every team asks first is where does our data go? This page answers it in plain terms: what stays with us, what leaves and when, and the choices you control. If anything here is ever out of step with how the product actually behaves, treat it as a bug and tell us at contact@transcribr.co.

The short version

  • Your audio is transcribed on infrastructure we run ourselves — it isn’t handed off to an outside transcription service.
  • Your transcript is sent to an AI provider only for the AI features you use — and you choose whether that runs on your own key or ours.
  • Nothing reaches an outside tool (GitHub, Notion, Slack…) unless you send it there.
  • We never sell your content, and it is never used to train models.

What stays with us

When you upload or record audio, it’s transcribed on infrastructure we operate — not passed to a third‑party transcription service. Your files and transcripts stay on infrastructure we control.

One exception — the meeting bot. If you send a bot to join a live call, that call is captured and transcribed by a specialist meeting‑capture provider on our behalf. If you don’t use the meeting bot, this doesn’t apply to you.

What leaves, and when

Your dataWhere it goesWhen
Uploaded / recorded audioStays on our own infrastructure for transcriptionOn upload or recording
Meeting‑bot callsOur meeting‑capture providerOnly when you send a bot to a live call
Transcript textThe AI provider you chooseOnly when you run an AI feature (summary, extraction, plan, insights, chat)
Issues, docs, messagesThe tool you push to (GitHub, Notion, Slack, Linear, Jira…)Only when you explicitly push
Billing details (never your content)Our payment processorOn subscribe / payment

If a piece of your content isn’t in this list, it isn’t leaving.

The AI, on your terms

Every AI feature runs one of two ways, and you decide which:

  • Your own key. You supply your own AI provider key, and your transcript goes to your own account with that provider, under your agreement with them.
  • Managed. You use our provider access, metered against your plan.

Either way, the AI runs on the major providers (you choose among OpenAI, Anthropic, and Google). Under those providers’ terms, content sent through their APIs is not used to train their models. Transcribr does not train any models on your data, and we do not sell it. You can switch to your own key — or turn managed AI off entirely — at any time in your settings.
